Job Description

What You’ll Do:

We’re looking for a Sales Executive Assistant who will directly support Maker’s Cofounder and COO in leading two critical sales channels (corporate and retail), and supporting other day-to-day administrative and operational needs of the business. Example responsibilities may include:
Support sales team needs including meeting scheduling, order intaking, spreadsheet formatting, reviewing shipping statuses on orders, invoicing, logging payments, and communicating with corporate or retail clients
Log key sales meetings and interactions; take notes or update our CRM or Google Drive with appropriate information; maintain clean data sources and contact lists across sales channels
Place orders with vendors to support business needs (eg ordering swag, retail signage, snacks, office supplies)
Plan events for sales team (eg in-store pourings, pop ups), coordinate with internal teams (eg fulfillment, marketing) and external stakeholders (eg retail partners, vendors) to plan for all items needed and seamlessly execute top-notch events
Conduct basic online research to support sales needs (eg making list of premium catering companies for lead generation, researching a company or companies to discern potential fit)
Support the Cofounder/COO with key administrative duties including:
Creation of documents, routing via DocuSign, and file management/organization
Onboarding of new employees and contracts (eg creating account in Gusto, routing MNDAs, Employment Agreements, Employee Handbook)
Pay contractors monthly; review Time & Expense trackers
Posting job descriptions to specific sites and/or compiling applications; reviewing for specific criteria
Other administrative items as needed
Plan activities, events and travel for the Maker team including meetings with wineries, team off-sites, and client visits
Occasionally you may be asked to support other business functions outside of sales (eg marketing, production). We’re looking for someone with a “can do” attitude who is willing to roll up their sleeves and help with any task or project needed!

Have excelled in an Executive Assistant or Office Manager role before.
Proficiency with GSuite, Microsoft Office including Word Documents and Excel, Gmail.
Strong ability to multi-task, have an outgoing personality and possess strong organizational skills.
Ability to work independently, to use critical thinking and problem solving skills.
Ability to maintain confidentiality and use professionalism with a variety of audiences ranging from customers to investors.
Highly responsive and flexible; able to function well in a fast-paced, high-pressure startup environment.
Enthusiastic about wine; excited to represent a women owned and operated company doing things differently in the wine industry!
